For virtual assistants and bookkeepers

One Client Hub per client, every month.

Your clients stay for years, and every month brings the same pile: a request in an email, a receipt in a text, a statement in a shared folder, a question on a call. Your Studio gives each client one private Client Hub where the requests, the documents and the answers live, and a card under your name for the referral who is looking for someone like you.

Month four

Where the ongoing work scatters.

  1. 01

    Requests arrive everywhere.

“Can you book my flights?” in a text, “can you pay this?” in an email, a voice note on Sunday night.

  2. 02

    Documents go missing.

The receipt was forwarded, the statement is in a folder, the form you asked for is an attachment somewhere in March.

  3. 03

    The same question comes back.

You explained it once, in a reply. Next quarter the question returns, and so does the search for what you said.

How your Studio answers it

The requests, the documents and the answers, per client.

Live

A card for the next referral

Your name, the work you take on, your city, and whether you are taking clients. When a client passes your name along, this is what the next one finds.

Live

One private Client Hub per client

Requests, notes and documents in one place only you and that client can open. Files sit beside the request they belong to, so month twelve can read month one.

Live

Questions on the note

Write the month’s summary as a note. Your client’s question attaches to the note it is about, and your answer stays there for the next time it comes up.

Live

One-time packages, paid to your Stripe

Sell a setup, a cleanup or a catch-up as a package with a price. The money goes straight to your own Stripe account; SoloBase takes 0%. Recurring monthly billing is not built yet.

An illustrative example

Nora keeps a client’s books in one Client Hub.

Nora Kim keeps the books for small businesses around Phoenix. A client of hers passes her name to Luis, who runs Ramos Landscaping and is three months behind. Luis opens her card, sees she is taking clients, and buys the three-month catch-up. The money lands in Nora’s own Stripe account.

  • Each month’s close is a note in the Hub, with its files beside it

  • Luis sends receipts there, not into Nora’s texts

  • His questions attach to the note they are about

  • After the catch-up, Nora sends each month’s invoice in the Client Hub

What you keep using

What stays where it is.

Your Studio is the front door under your name, a Client Hub for each client that outlives the engagement, and money paid into your own Stripe at 0%. The tools you use for other jobs keep them.

Virtual assistants and bookkeepers ask

Can I bill a monthly retainer in SoloBase?

Not yet. Recurring monthly billing is not built. Today you send each month’s numbered invoice in the client’s Client Hub, paid to your own Stripe account; billing that repeats by itself is coming.

Who can see a client’s Client Hub?

You and that client: a Client Hub opened when you accept their inquiry holds the two of you. When their office manager or accountant belongs in the work, invite them into the same Client Hub. Neither kind ever appears on your site or in search.

How much can I store?

2 GB on Free, 50 GB on Pro, and 250 GB on the Studio plan.

How many clients can I have?

The free plan includes one private Client Hub, enough to try it with one client. Pro, $29 a month, includes unlimited Client Hubs. Paid plans open with billing, which is not live yet.

Is this a practice management tool?

No. Your Studio runs the path from inquiry to a paid Client Hub, and each client gets one of their own. There are no tasks, time tracking or reports. A Client Hub holds the requests, the documents and the conversation with one client, for as long as you work together.

Your next client gets a Client Hub, not another thread.

Make your card in a minute. Open a Client Hub when the first client says yes.
